Fixed Assets Tracking

PanatrackerGP Fixed Asset module is offered as a mobile extension to the Microsoft Dynamics ® GP Fixed Asset module. Our Fixed Asset module is included as part of our “Extended” platform to support the need to manage assets that may be located outside of a continuously-connected wireless environment.

Currently, the following transactions can be captured for Fixed Assets:

Add New Asset Record: Capture basic asset information to create a new asset record in Dynamics ® GP. Affix and scan the Asset ID, and enter physical details about the asset. Optional configuration provides the ability to receive capital items marked on GP purchase orders. Financial data set up is completed directly in GP.

Update Asset: Update the asset record assignments for location, custodian, master asset ID, or the user definable fields used for additional asset tracking.

Assign Asset Label ID: The Asset Label ID is defined in Dynamics ® GP as the related bar code asset ID to be used for a physical inventory for example. This may be the same as the Asset ID. PanatrackerGP uses the Asset Label ID for all asset-related transactions. For existing assets, a Label ID may need to be assigned or a new Label ID may need to be assigned. This transaction offers a tool to assign a bar code asset label to existing asset IDs.

Physical Inventory – Validate Asset: This transaction validates the current asset location. The PIN and validate date is updated on the asset record. Access to a list of the assets for the location is available. An asset discovered in the incorrect location can be automatically updated with the correct current location during the validation. A Smart List can be created for additional reporting.

When transactions are submitted, all  transactions are logged in detail in the Panatracker logging database and the Fixed Asset data is updated automatically in the Dynamics ® GP database. Set up Smart Lists in Dynamics for reporting on new asset additions to easily complete the record set up in Dynamics and for location validation reporting. 

About Asset Labels

One of the first questions asked is how to print bar codes for assets. In line with what we consider a best practice of each asset uniquely identified, Panatrack recommends purchasing pre-printed serialized asset labels. When adding an asset, simply take the next label, affix it to the asset, and scan the Asset ID. 

By purchasing asset labels, you open yourself up to a wide variety of label materials. These materials are specifically designed to last as long as your asset. You can also include your company name for additional security measures. Example of asset materials include foil, metal, polycarbonate, polyester, and polypropylene. Some of these materials are ideal for conforming to curved or uneven surfaces. Asset labels are coated to protect from abrasions. Two-part labels offers a bar code label to affix to the asset and a corresponding tab with the corresponding ID number to affix to attach to paper records. There are also security labels that prevent unauthorized asset number transfer. If the label is tampered with, it breaks into small pieces. A tamper-evident label leave the word "void" behind if removal is attempted. 

Panatrack is a reseller of asset labels and can assist you in selecting the label material. If you prefer to print your own labels, Panatrack can assist in getting you set up for that as well. You will need bar code label design and printing software, a thermal-transfer bar code label printer, and label stock. Some of the label materials mentioned are also available as stock media for your own label printing purposes.

Requirements
To implement PanatrackerGP Bar Code Data Capture for Fixed Assets, you will need:
  • Microsoft Dynamics GP Fixed Asset Module (v9 or higher)
  • Microsoft eConnect (runtime)
  • Supported Windows Mobile Handheld Computer (recommended unit is the Motorola MC55)
  • Network connectivity for data synchronization. (Wireless or Ethernet Cradle)
  • Bar Code Asset Labels (recommend pre-printed serialized asset labels)
